Billing & your subscription
Manage your free trial, your plan, your card, and your Managolio subscription.

Every new account starts on a 30-day free trial with the whole platform unlocked and no credit card. Nothing is ever charged automatically, because there is no card on file. The trial runs on the Basic tier, so it includes up to 5 team members while you try it on real jobs. In the last week, the Owner and Operations get a reminder in their daily summary email. When the trial ends you pick a plan, and everything you built during the trial is still there.
Every feature is included on both plans. The only difference is how many people you can add. Basic is $199 a month for up to 5 team members. Pro is $249 a month for up to 15. There is never a per-user fee and no setup cost. Choose Annual and you pay for 11 months instead of 12: $2,189 a year for Basic, $2,739 a year for Pro.
Billing belongs to the account owner. Nobody else on your team sees the section, and nobody else can start, switch, or cancel a subscription.
- 1Click your avatar in the top right, then Settings.
- 2Choose Billing, under Personal.
- 3The card at the top shows where you stand: Trial with the days left, Payment failed, Canceled, or your plan, cycle, and renewal date.
- 4If your account is ever locked out, the plan screen tells the rest of your team that billing is managed by your account owner.
- 1Go to Settings → Billing.
- 2Pick Monthly or Annual with the toggle. Annual is marked 1 month free.
- 3Choose Basic or Choose Pro.
- 4A Subscribe window opens with Stripe checkout running inside Managolio, so you are never sent off to another site and your card details never touch our servers.
- 5Have a promo code? There is a field for it at checkout.
- 6Finish, and your plan is live straight away.
That happens when you sign up from a plan link on our pricing page: we remember the plan and cycle you picked, so the first thing after sign-in is a Complete your subscription screen with checkout on it. You are not stuck. Choose Use my 30-day free trial instead and you go straight into setup on the free trial, with no card taken.
- 1Go to Settings → Billing.
- 2Set the toggle to Monthly or Annual, then choose Switch to Basic or Switch to Pro.
- 3Confirm. The change applies right away and the difference is prorated onto your next invoice.
- 4Changing cycle works the same way: pick the other cycle, then switch. It updates the subscription you already have, so you are never billed twice.
- 5Dropping to Basic with more than 5 team members shows Remove members to switch. Remove people first, or stay on Pro.
Basic includes 5 team members and Pro includes 15. Your free trial runs on Basic, so it includes 5. A seat is used by everyone active on your team, including invites nobody has accepted yet. Customers in the portal and subcontractors do not use a seat. When you are full, the invite is refused with a note naming your cap, and on Basic it points you at Pro.
Card changes happen inside Managolio, with no redirect. You will not see this button during the trial, because there is no card on file until you subscribe.
- 1Go to Settings → Billing.
- 2Choose Update payment method.
- 3Enter the new card in the Stripe window that opens.
- 4It replaces the card on file for future renewals as soon as it is accepted.
In Settings → Billing, choose View invoices. That opens the Stripe billing portal with your full Managolio billing history and downloadable receipts. These are the invoices for your Managolio subscription, not the ones you send your own customers; those live under Invoices in the sidebar.
You do not get locked out the moment a renewal fails.
- 1The billing card reads Payment failed, a banner shows across the app, and we email the Owner and Operations naming the date access would end.
- 2You keep full access for 14 days from the failed renewal.
- 3Stripe retries the card on its own schedule, so a card that starts working again can settle on its own.
- 4To fix it now, go to Settings → Billing and choose Update payment method.
- 5If the 14 days run out, the subscription is canceled and the account locks. Nothing is deleted.
There is no long-term contract, so you can cancel whenever you like.
- 1Go to Settings → Billing and choose Cancel subscription.
- 2Confirm. You keep full access until the end of the period you have already paid for, and the panel then shows that date.
- 3Changed your mind before then? Choose Resume subscription and nothing is interrupted.
- 4After that date the account locks and your data is kept. Subscribe again whenever you are ready and it all comes back.
Access is paused, not erased. Everyone in the company lands on a Choose a plan screen instead of the app, and nothing of yours is touched: leads, jobs, estimates, invoices, photos, and documents are all waiting. Pick a plan and it all comes straight back. The Owner or an Operations manager can also use Export records on that same screen to download your records as spreadsheets first, so you are never locked away from your own data.
Canceling stops the billing and keeps everything. Deleting the account is a separate button, and only the account owner has it: Settings → Business profile, under Danger zone. It cancels the subscription, ends portal access for your customers straight away, and permanently deletes everything after 30 days. You can restore the account yourself during those 30 days, and after that it is gone. Export your records before you go near it.
