Privacy & closing your account
Who can get into your account, how Managolio support asks permission, and exactly what happens when you close it.

Nobody at Managolio can open your account on their own. A support team member has to ask, and you let them in from a banner at the top of the app. Owners and Operations Managers see that banner and answer it; nobody else on your team does.
- 1The agent requests access and says which kind: read-only, or the ability to make changes.
- 2Owners and Operations Managers get an email, and a banner appears in the app: "Managolio Support is requesting read-only access to your account."
- 3Choose Approve or Deny. Approving a change request asks you to confirm a second time, under "Allow Managolio to make changes?"
- 4Once you approve, they have 15 minutes to open the session and one hour of access after that.
- 5Do nothing and nothing happens. The request expires by itself after 24 hours, and it stops being approvable the moment the agent stops waiting on it.
A read-only session is read-only because the app refuses the writes, not because the agent is being careful. They see the screens you see, and anything that would change a record is blocked. A change session can work in the app on your behalf, and it runs on your owner account, so what they do is recorded under it.
- 1Either way a bar sits across the top of their screen for the whole session, naming your company and counting down to when it ends.
- 2They cannot extend it. Past the hour they have to ask you again.
- 3Every request is recorded: who asked, which level they asked for, when you answered, and when the session started and ended.
Some things are yours alone, and the app refuses them from a support session no matter which access level you granted.
- 1Anything to do with billing. Starting, switching, cancelling or resuming a subscription, updating the card, and opening the Stripe portal are all refused with "Billing can only be changed by the account owner, not from a support session."
- 2Closing your account, or restoring one you have closed.
- 3Approving, denying or revoking support access. An agent can never widen or renew their own session.
- 4Signing you out of your devices. "Sign out everywhere" is not available in a support session.
- 5Your private calendar feed link is hidden from them.
Revoke access sits right in the banner from the moment you approve, and it works whether or not the agent has opened the session yet. The session dies on their very next click.
- 1Find the banner at the top of the app and choose Revoke access.
- 2The banner follows you to the places you are most likely to need help: it is on the Choose a plan screen when your billing has lapsed, and on the recovery page after you close your account.
- 3You do not have to do anything for a session to end. It expires on its own after an hour.
- 4Closing your account ends every live support session immediately.
Deny it. Nothing at all happens until you approve, and a denied request is finished: the agent has to start a new one. Ignoring it works too, since it expires in 24 hours. If you are unsure whether a request is genuine, email support@managolio.com and ask before you approve. Managolio will never ask you for your password, and support never needs it. That is the whole point of asking this way.
Only the account owner can close the account, and it is deliberately awkward to do by accident. Nothing is destroyed on the day you do it.
- 1Go to Settings → Business profile and scroll to Danger zone, then choose Delete account.
- 2Read the list. It counts your real projects, contacts, leads, invoices, documents and photos, and tells you what happens to your subscription, your QuickBooks connection and your card payments.
- 3Export your records from the dialog, and download your photos and documents separately first. They are not in the export.
- 4Type your company name exactly as it appears, then choose Delete account.
- 5Your customers lose portal access straight away, and everyone on your team is signed out and emailed.
Closing schedules the deletion; it does not perform it. For 30 days everything is still there and the Owner can undo it.
- 1Signing in during those 30 days lands you on a recovery page instead of the app. It names the exact date everything is deleted and how many days are left.
- 2Only the Owner can reverse it. Choose Restore my account and every record comes back exactly as it was.
- 3Restoring does not bring back your subscription. It was genuinely cancelled and cannot be reinstated, so you land on the billing screen to pick a plan again.
- 4We email the Owner who closed the account when about 7 days are left, and again at about 3 days.
- 5Miss the window and there is nothing to restore. Nobody at Managolio can bring it back either.
The records export is spreadsheets only. Your photos and documents are listed in it by name, but the files are not inside. Once the account is closed you cannot reach the pages they live on, because the recovery page is the only screen a closed account can open. Do this first.
- 1Open each project, go to its Photos section and choose Download all.
- 2Open Documents and choose Download all. That archives whatever your current search and category filter is showing, so clear your filters if you want the whole library.
- 3Then run Export records from Settings → System data for the spreadsheets.
- 4Already closed it? Restore the account to reach your files, or email support@managolio.com and grant a support session from the recovery page, and we will fetch them for you.
On the deletion date it is all destroyed: every record, every job photo, every document and contract, your team logins, portal access for your customers, and the log of emails we sent on your behalf. Your QuickBooks connection is revoked at Intuit, not just switched off here. Your own Stripe account is untouched and keeps working, but a customer paying an invoice after that date has nothing left here to record it against.
- 1We email the Owner, and everyone who was still on the team, to confirm it is done.
- 2What we keep is one line for our own books: your company name, the plan you were on, your signup and closure dates, and the Stripe customer reference, so a chargeback or a billing question can still be traced.
- 3We also keep the record of which Managolio staff touched the account before it closed.
- 4That line is not a copy of your data and nothing can be rebuilt from it.
